Connect Calendly

Calendly Personal Access Token setup. AI uses the new direct-booking API (POST /invitees) to create real Calendly events without the caller clicking a link.

Step 1 — Get your Calendly Personal Access Token

  • Calendly account must be on a paid plan (Standard, Teams, or Enterprise). Free tier blocks the Scheduling API.
  • Sign in at calendly.com → Account → Integrations → API & Webhooks.
  • Click 'Get a token now' under Personal Access Tokens.
  • Name it 'VoxReach AI'. Copy the token (you won't see it again).

Step 2 — Connect in VoxReach

  • Integrations → Calendly → Connect.
  • Paste the PAT into the single field.
  • Click Connect — we hit /users/me to verify.

Step 3 — Configure workflow

  • Set as default booking provider.
  • Default duration: matches your shortest event type so the agent has a sensible fallback.
  • Confirm caller via SMS: ON. Customer gets the calendar invite from Calendly automatically too — they'll get both.

Step 4 — Test with a real call

  • Make sure at least one Event Type is Active in Calendly.
  • Ring your VoxReach number, ask to book a discovery call.
  • AI should ask for the date, check Calendly's available_times, offer slots, book directly via POST /invitees.
  • Booking appears in your Calendly dashboard immediately.

Troubleshoot

  • 401 — token might have expired or been revoked. Generate a fresh PAT.
  • AI says 'sending you a booking link instead' — direct booking failed (e.g. event type requires custom questions). VoxReach falls back to a single-use scheduling link via SMS automatically.
  • Free-plan account — Scheduling API is paid-only. Upgrade Calendly or switch to Cal.com (free direct-booking API).
