Quick-start: hair salons + beauty + spa

Timely or Square Appointments + VoxReach. AI books haircuts, colour, treatments while stylists are on the floor.

01

Step 1 — Connect Timely (or Square Appointments)

  • For salons on Timely: Integrations → Timely → Connect via OAuth (admin must register OAuth app first).
  • For Square users: same, via Square OAuth.
02

Step 2 — Use case

  • 'Inbound appointment setter' is the right pick — books only.
  • If you want it managing Saturday no-shows + lead nurture, pair with '2-way SMS responder' on a separate AU mobile number.
03

Step 3 — Stylist preference + service knowledge

  • Cliniko / Timely / Square all expose your service catalogue and stylist list — AI auto-uses them.
  • Service-keyword mapping is gold here: 'colour=svc-id', 'cut=svc-id', 'treatment=svc-id'.
04

Step 4 — Returning client experience

  • AI matches caller's phone to existing client → greets by name, knows their usual stylist.
  • 'Hi Sarah, would you like to book in with Jess again like last time?' — instant trust.
05

Step 5 — Saturday volume handling

  • Add a 2nd assistant in 'two-way SMS responder' mode.
  • When phone is busy, missed-call SMS auto-fires offering to book via text.
  • Same Cliniko / Timely connection — same workflow.
06

Common gotchas

  • Multi-stylist diary chaos — confirm each stylist has working hours set in Timely / Square so availability is accurate.
  • Walk-in handling — AI offers next-available slot for any service if caller doesn't specify.
